In this position, you will provide general administrative help to the Electrification, Installation Products and secretarial assistance. You will act as a point of contact for enquiries, providing solutions for those within your scope, and escalating those that require it. As Assistant to the GM, you will perform customer services, administrative, and receptionist duties under general supervision, utilizing knowledge of established practices and procedures and office equipment. This role supports ABB's Electrification Installation Products Division in Easton, PA.

Your responsibilities

  • Perform customer services, administrative, and receptionist duties under general supervision, utilizing knowledge of established practices and procedures and office equipment
  • Provide superior customer services support between internal sale and distribution center
  • Answer telephones, emails, and respond to sales inquiries
  • Generate documents such as memos and reports, establishing new formats where required. As authorized by requestor, edit punctuation, spelling, grammar and syntax, and proofread results for accuracy. Compose correspondence for signature, in response to routine inquiries. May take dictation
  • Assistance with timekeeping for hourly associates
  • Use a variety of software packages such as word-processing, spreadsheet, database fletch (ESED), and graphics, to produce products that typically require applying new formulas and formats, or manipulating data
  • Screen and organize mail, determine priority, highlight important items and attach relevant information. Process small parcel shipments when necessary. Contact appropriate parties to resolve problems. Establish and maintain filing systems
  • Make appointments and coordinate supervisor's schedule. Prioritize own workflow and meet schedule and quality requirements. Oversee requests for office services, ensuring proper contacts are made
  • Review, audit and submit expense reports and process bills/invoices related to such items as professional dues, subscriptions and supplies
  • Assist in the development and execution in the Wave Plan to predetermine ship schedules are met for all customers while maintaining a level workload of activity across all shifts
  • Prioritize daily schedule and create reports as needed to monitor, track and measure performance at all levels
  • Work closely with Transportation and Customer Service teams to evaluate truck loads, fill expedite request, and/or change routing
  • Work closely with Inventory teams to ensure inventory integrity when replacement product is needed to fill an order
  • Work closed with and Special Handling team to ensure orders are shipped timely
  • Monitor and respond to email and phone calls in a timely manner
  • Data entry in to Fletch system to catalog Electron Shipping Defect Database entries
  • Generate and analyze daily KPI and ESED reports
  • Perform general HR assistant functions
  • Other duties as deemed necessary or assigned
Your background

  • Require High School diploma
  • Minimum 2 to 5 years of experience or a special combination of education and experience and/or demonstrated accomplishments
  • Experience using a variety of software packages such as word-processing, spreadsheet, database fletch (ESED), and graphics, to produce products that typically require applying new formulas and formats, or manipulating data
  • Experience with SAP and Blue Yonder is preferred
  • Candidates must already have a work authorization that would permit them to work for ABB in the US
