Job Summary

Generally, and as approved by the Vice President, reports to a Director, Administrator, or Sr. Administrator in Leadership salary grades 230 and above. Provides advanced clerical and administrative support to the department. Uses computer skills to perform complex duties, including word processing, database management, presentation graphics, e-mail and spreadsheet preparation. Interacts with all levels of internal and external customers, which may include community leaders. Performs primarily project oriented work and may coordinate multi-department projects. Analyzes issues, conducts research and offers solutions. Works with minimal supervision and exercises independent judgment when completing tasks.

Accountabilities

  • Answers phone, directs caller to the appropriate person, takes messages or provides information to callers.\u00A0 Advises executive when necessary.
  • Maintains supervisor\u2019s calendar. Schedules appointments and arranges multi-department meetings.\u00A0 Schedules and coordinates travel when necessary.\u00A0 Prepares and/or provides necessary documents for supervisor\u2019s use in meetings and attends meetings as requested to take minutes.\u00A0 Arranges A/V and/or catering when appropriate.\u00A0
  • Sets up and maintains departmental records, including but not limited to reports, committee minutes, agendas, time and attendance information, policies and procedures and forms.\u00A0
  • Composes correspondence and prepares presentations as directed by supervisor.\u00A0 Prepares and distributes reports as requested.\u00A0 Maintains departmental databases.\u00A0
  • Screens, sorts and distributes mail and other incoming documents. Responds to requests or brings to supervisor\u2019s attention when appropriate.\u00A0
  • Orders and maintains departmental supplies. Coordinates the care and maintenance of departmental equipment.\u00A0
  • Faxes, scans and copies documents as requested in a timely manner.
  • Completes assigned departmental projects.

Minimum Qualifications

  • Education - High School diploma or equivalent OR post high school diploma / highest degree earned
  • Experience - 3 years-\u00A0Administrative or office support\u00A0
