Position Summary
This position is needed to support the statewide operation of the Expanded Food and Nutrition Education Program (EFNEP). This individual will perform standard office duties (i.e., answer and dispatch phone calls, assist with: travel arrangements, equipment needs, budgetary issues, etc.). This individual is also responsible for ordering supplies for the program across the state of Georgia. In addition, this individual should become familiar with the curricula being used by the counties and understand the circumstances and locations of where the curricula is being taught. This position is needed to plan and facilitate the logistics for all EFNEP events and trainings (3-4 year).

Duties/Responsibilities

Duties/Responsibilities
  • Provide oversight for the EFNEP ordering system.
    • Ordering supplies for over 40 county faculty and staff which are stored, shipped, and tracked from the State Office.
    • Research and compare items to be ordered, identify new products on the market, obtain quotes from numerous vendors and order items in UGAMart.
    • Maintains accurate files of proofs, quotes, invoices, and other documentation related to EFNEP orders.

  • Maintains accurate list of EFNEP staff.
    • Responsible for initiating onboarding materials for new staff such as name tags, business cards, OneDrive access, and teaching supplies.
    • This includes an accurate email and FTE list at all times.

  • Maintains OneDrive filing system for EFNEP County Faculty and Staff.

  • Maintains EFNEP website with current staff and county list.
    • Posts and updates Partnering Agency of the Month.
    • Posts and updates EFNEP in the News when needed.

  • Maintains accurate list of UGA/EFNEP Property for counties and State EFNEP offices.

Duties/Responsibilities
  • Maintains organized filing system and storage system for nutrition education curriculum and training materials.

  • Compiles reports of supplies ordered, inventory, and other data as needed for EFNEP State Staff.

  • Processes expense statements for electronic payment, ensuring and maintaining confidentiality of required information.
    • Reserves rental cars for state EFNEP programs staff and processes payment for rental cars for all EFNEP staff.

  • Initiates and process payments for EFNEP purchasing and trainings.

  • Follows FACS business office guidance in the development of EFNEP internal forms and general business procedures.

Duties/Responsibilities
  • Manages the EFNEP state office, serves as first point of contact for all county faculty and staff and the public by telephone, in person, and via electronic correspondence, resolving issues/needs independently whenever possible.

  • Provides direct administrative support for grant funded EFNEP State Staff.

  • Assists in the planning of special EFNEP projects.

  • Arranges conference calls/zooms for meetings of EFNEP state staff as needed.

  • Plans and implements administrative details and logistics for EFNEP staff trainings and conferences.

  • Creates, types, formats, and prepares EFNEP publications, reports, conference programs, PowerPoint presentations and curriculum materials.

  • Prepares briefings and supporting documents for all meetings and events, including briefing documents for internal and external speaking engagements.
    • Maintains agendas and meeting notes for state staff meetings and all EFNEP trainings.

  • Manages the receipt of EFNEP programmatic data from county offices.
    • Tracks UPS envelopes for outbound delivery and inbound receipt.

  • Manages the receipt and processing of EFNEP Partnership Agreements and Community.

  • Collaborators for EFNEP programming at the county level.

  • Maintains filing system by creating folders and labels for EFNEP data.
    • Files entered data.

  • Organizes and tracks data for receipt, entry and filing when appropriate.

  • Oversees records retention between fiscal years.
